It’s like having a safety net to help you get back on your feet when things go sideways. Here’s how to build one.
Before you do anything, ask yourself: “What can’t we afford to lose?” For most businesses, that means customer data, financial records, emails—you know, the essentials. Don’t forget about the systems that keep everything running smoothly, like your software tools. And, of course, the people who’ll step up when disaster strikes. You need to know who’s in charge when things hit the fan.
Think about the worst-case scenarios. Natural disasters like floods, fires, or earthquakes? Yep, those count. Cyberattacks where hackers steal or lock your data? Definitely even simple mistakes, like someone accidentally deleting important files, can cause major headaches.
You’ve got two big questions to answer:
How fast do we need to recover? This is your Recovery Time Objective (RTO). Basically, how long can your business afford to be down? If the answer is “no more than an hour,” then that’s your RTO.
How much data can we afford to lose? This is your Recovery Point Objective (RPO). If losing more than a day’s worth of data would be a disaster, then your RPO is one day.
Not all backups are created equal.
On-site backups are quick to access because they’re stored right where you work. But if there’s a fire or flood? Forget it; you’re in trouble.
Off-site backups are stored somewhere else, so they’re safer from local disasters. Cloud backups are stored online, which means you can get to them from anywhere with Internet access.
Some businesses even use real-time data replication—basically, every bit of data gets copied instantly to another system. That way, you lose almost nothing if disaster strikes.
Now it’s time to get specific. Your DR plan should spell out exactly what to do if disaster hits.
But here’s the thing: having a plan isn’t enough. You’ve got to test it—regularly. Run drills like you’re in the middle of an actual disaster. It helps you spot any weak spots. Found an issue? Fix it. Plus, as your business grows and tech changes, you’ll need to keep the plan updated.
While you’re at it, make sure your data is secure. Use strong passwords, encrypt your backups, and follow any legal rules around data protection.
Without a disaster recovery plan, a business risks losing money, customers, and even the ability to stay open. But with a solid plan? You can bounce back fast—like nothing ever happened.
